Spring has sprung! With longer days and warmer temperatures, this is the perfect time to clear the decks, change up the office space and ensure your company’s computers, mobile devices and network is protected.
Set aside a half or full-day to complete this activity, ideally when everyone is at work. Make this an annual ritual. Once you have the date set, move forward with the following tasks.
This blog is divided into three focus areas: Office Space, Individual Area and Computer Protection.
According to CEO Space, office cleanliness has a direct impact on worker effectiveness and how client’s perceive your business.
- Move desks and chairs around.
Let employees change up their environment in a way that works best for them. Empower them to move things around, as long as there are no safety or health violations committed in the process.
- Get out the scanners, shredders, recycling stations and large waste receptacles. Put them in highly visible locations.
Scan files and documents to a secure, dedicated cloud system, not to individual PCs. Then, dispose of all confidential documents via crisscross shredders. Recycle unrestricted paper files, glass, aluminum and certain plastics. Throw away non-recyclables.
- Sell or give away filing cabinets.
Removing these from the work setting is a bold statement to all employees that you are moving to the cloud.
- Hire a cybersecurity firm.
After they complete a full network scan and vulnerability assessment, this organization can help put a plan of action in place to remove corrupted and at-risk programs immediately. They can also continuously monitor your network to keep future cyber threats at bay.
The National Association of Productivity and Organizing Professionals states being disorganized can cost each employee up to 4.3 hours per week in lost productivity.
- Clean your desk area.
Sanitize your monitor, keyboard, mouse, phone and desk. It’s estimated that up to 83% of the U.S. workforce eat at their desk. Therefore, it should be no surprise, it is projected that over 100 types of bacteria can thrive there. Use products such as iKlear or Cyber Clean to sanitize your devices.
- Put sanitizer on your desk and use it often.
- Clean out email folders.
Delete all irrelevant and old correspondence. This act alone will free up more storage and maximize your efficiency when conducting a search.
- Remove unused apps from your devices.
- Upgrade and update all operating systems and apps, including antivirus software.
At some point, outdated technology will not run the current software version. To keep bad actors at bay, decommission this unit immediately and replace it with a brand-new computer.
- Defrag your hard drive.
Free up storage and make your computer run faster.
- Move all documents to the cloud.
While a copy can remain on your PC, it is good for collaboration and backup to have your files in the cloud.
